The challenge
The camp's payroll system did not integrate with QuickBooks Online, so every pay period meant tedious manual journal entries. Payroll checks were issued from a separate payroll checking account, which added redundant administrative work and unnecessary bank fees. On top of that, most of the team, including full-time leadership and seasonal staff, lived outside Texas, creating significant multi-state payroll tax and regulatory compliance risk.
The solution
Bowline moved the camp from QuickBooks Online Payroll to Gusto. Gusto's native QBO integration, automated multi-state tax filing, and direct payouts eliminated the manual journal entries, simplified the bank account structure, and established full multi-state compliance.

Gusto setup and QBO integration
Migrated all full-time and seasonal staff data into Gusto and established a direct, automated sync with QuickBooks Online.
Bank account consolidation
Moved payroll disbursements directly through Gusto, closing the separate payroll checking account and its recurring monthly maintenance fees.
Multi-state compliance mapping
Configured automated state-level tax registrations, local withholdings, and filing rules in Gusto so out-of-state full-time and seasonal employees are handled without manual intervention.
